INTRODUCTION
We are collecting, or have previously collected, certain personal information to enable the church to keep in touch with you and provide pastoral support as appropriate. Data Protection legislation allows us to process this information as we regard it as being in the church’s legitimate interest.
Under Data Protection legislation the Charity Trustees of Lower Earley Baptist Church (CIO) (i.e. the Church Leadership team) are the Data Controller.  For Data Protection issues they can be contacted by ringing 0118 9353598 or emailing contact@lowerearleybaptistchurch.org.uk
 
CHURCH DIRECTORY AND DATABASE
We would like to include your name and details in our Church Database which is held electronically.  If you have not already done so, you can register by going to www.lowerearleybaptistchurch.org.uk . Your contact details can only be seen by others who have registered.  It may be distributed by email to those whose names are registered and in hard copy as appropriate. A copy will also be kept securely in the church office. We will not give copies of your details to anyone else. We will only include you if you give your specific consent for us to do so by registering on the website.
You can ask for all or any of your details to be removed or amended at any time.
 
PASTORAL CARE AND SUPPORT
To enable us to provide adequate pastoral support to you and your family, the Minister, Trustees, Pastoral Care Team or one of the Group Leaders may record information which may be regarded as sensitive. This information will be stored either in hard copy in a locked drawer in the church office or (in password protected documents) on their computers but the password will only be known to those individuals. This information will NOT be disclosed to anyone else without your consent.
 
CHILDREN
To enrol in any of our children’s groups parents will be asked to complete a registration form for each activity.  This will be kept in a locked cabinet in the Church Office and, if transferred to a computer database, will be password protected.
 
PHOTOGRAPHS AUDIO AND VIDEO RECORDINGS
Occasionally photographs, audio or video recordings may be taken during the course of a church event.  Notice will be given at the start of such an event so that individuals have the opportunity to remove themselves from the area.
 
ACCESS RIGHTS
You have the right to ask to see any information we hold about you (including the pastoral support information) by submitting a ‘Subject Access Request’ to the Church Secretary. You also have the right to ask for information which you believe to be incorrect to be rectified.
If you are concerned about the way your information is being handled please speak to the Church Secretary. If you are still unhappy you have the right to complain to the Information Commissioners Office.
 
WHAT ELSE YOU SHOULD KNOW ABOUT PRIVACY
Remember to close your browser when you have finished your user session. This is to ensure that others cannot access your personal information and correspondence if you share a computer with someone else or are using a computer in a public place like a library or internet cafe. You as an individual are responsible for the security of, and access to, your own computer.
Please be aware that whenever you voluntarily disclose personal information over the internet that this information can be collected and used by others. In short, if you post personal information in publicly accessible online forums, you may receive unsolicited messages from other parties in return. Ultimately, you are solely responsible for maintaining the secrecy of your usernames and passwords and any account information. Please be careful and responsible whenever you are using the internet.
